reporting service puts the Bank at your fingertips. You can review
account balances and activity, manage your funds on-line, and even

the needs of sophisticated cash managers, while remaining easy enough
for any business to use. VIPbanker™ is organized into three
general activities: Cash Position, Account Management, and Funds Management.
CASH POSITION
Authorized individuals can view current ledger and available account
balances. Information for all accounts is displayed together in a

complete account details can be displayed. ACCOUNT
MANAGEMENT After selecting a specific account,
authorized individuals can:
 |
Monitor individual debit
and credit transactions |
 |

prior to posting |
 |

 |
View images of your posted checks |
 |
Print bank statements as needed. |
Funds Management The funds management
module allows authorized individuals to:
Transfer funds between your Pacific Western Bank accounts.
Initiate outgoing U.S. Dollar wire transfers, repetitive and non-repetitive
Initiate electronic (ACH) transactions
The VIPbanker™ ACH editor module is database software which
allows clients to create and store electronic transactions. These
transactions are uploaded for processing by Pacific Western Bank through
the Automated Clearing House (ACH).
VIPbanker™ uses the most stringent security measures, including
a sever check point, 128 bit encrypted account information with Secure
Socket Layer (SSL). Access is controlled through a client-defined
administrator. User security is controlled by the client as passwords
are established by authorized individuals.
Internet Explorer web browser and an Internet service provider are
all that's needed to access your accounts. VIPbanker™ services
are available 24 hours, 7 days a week.
ACH Origination Services
Pacific Western Bank provides both Debit and Credit ACH origination
services to our clients. Debit Origination Service automates your
accounts receivable process by allowing you to collect payments
from your customers electronically. Credit Origination Service is
best known for Direct Deposit of Payroll, although any recurring
payment, such as pensions, annuities, or dividends can be made via
the Automated Clearing House (ACH).
We can receive your file in a variety of ways:
 |
Third Party Payroll Vendor |
 |
Client Originated, Direct Transmission |
 |
Client Originated, File Transfer via
VIPbanker™ |
 |
VIPbanker™ ACH Editor |
THIRD PARTY VENDOR
Pacific Western Bank has long-term relationships with the major
national payroll processors, such as ADP, Ceridian Employer Services
and Zurich Business Services. The Bank works with these payroll
vendors to process direct deposit files for our clients. Each pay
period, your vendor transmits a file containing payroll information
to us. We process through the Automated Clearing House to ensure
your employees are paid on settlement date.
CLIENT ORIGIANTED FILES
For clients with internal payroll systems, Pacific Western Bank
can process your pre-formatted payroll files on a PC to PC direct
transmission or on a file transfer basis via VIPbanker™.
Clients, who are not able to create a file in the standard National
Automated Clearing House Association (NACHA) format, can take advantage
of the VIPbanker™ ACH Editor. This module allows you to enter
employee or customer bank account information directly into a database
file for reoccurring use. Each processing period, you simply update
the file information, provide the settlement date and upload to
the Bank via the VIPbanker™ Service. The VIPbanker™
ACH Editor software converts your database file into the standard
NACHA file format used by all financial institutions.
Whatever method of input you select, your company can be assured
of quality, experienced local support for questions and problem
resolution.
Lockbox Services
Pacific Western Bank ’s Lockbox Service is designed to meet
the needs of corporations that receive remittance payments.
As the name implies, lockbox receives payments from a consumer or
retail client base. Lockboxes are typically described as having
high-volume and lower dollar amount payments but can also be low
volume, high dollar remittance from your corporate customers. Charitable
contributions, association dues, tenant rent, and utility are common
examples of payments.
The key to automated lockbox processing is a machine-readable document,
which is provided to the consumer for each payment expected. Information
pertinent to the payment is contained in a machine-readable (OCR)
line on the document. The OCR information may contain a customer
number, due date, payment amount, and other unique data. When your
customer returns the document with their check, the Bank captures
this data automatically by scanning the OCR line. We then provide
this information to you in an automated format, usually via data
transmission permitting timely, efficient posting of receivables
without re-keying.
We also offer lockbox processing for non-readable documents with
the same data transmission benefits.
SERVICES BENEFITS
The key benefits associated with lockbox services are:
 |
Improved cash flow and greater
funds availability |
 |
Reduced in house costs and processing
time |
 |
Timely information for updating and
managing accounts receivable |
 |
Less credit exposure with faster processing
and collection time Improved audit controls. |
Pacific Western Bank ’s Lockbox Service is custom programmed
for each client. We coordinate the setup of your lockbox with your
Data Processing, Finance, and Accounts Receivable Departments to
ensure a comprehensive and fully integrated program. This extra
attention to detail at the front end means a more efficient system
design, less disruption at conversion, and lower overall programming
costs.
SERVICE QUALITY
Pacific Western Bank is committed to providing quality, cost-effective
lockbox solutions to meet your check processing needs. Your payments
are mailed to a Post Office Box and processed by bank personnel.
We pride ourselves on our ability to offer consistent, responsive,
and professional service without the bureaucracy associated with
large, departmentalized organizations.
ZERO BALANCE ACCOUNTING
Automated Zero Balance Accounting (ZBA) service is designed to ease
daily cash management functions by consolidating corporate checking
account balances into one concentration account. Excess cash is
easily identified and can be used to reduce borrowings or for investment
purposes.
The concentration account is automatically linked to any number
of sub-accounts known as zero balance accounts. These sub-accounts
are forced to a zero balance at the end of each day. Excess funds
held in, or deposits made to a Zero Balance Account, are credited
to the corresponding concentration account. All debits to the Zero
Balance Account are funded automatically by the concentration account.
Zero Balance Accounting provides the following benefits:
Consolidates funds for company use
Reduces the number of accounts to be managed
Decreases internal clerical costs by eliminating the need to make
numerous account transfers
Eliminates overdraft charges from not transferring funds in a timely
manner
Improves audit trail information for all account activity
Payroll accounts and Credit Card accounts are perfect candidates
for Zero Balance Accounting. In these instances, a separate account
is desirable for confidentiality or accounting purposes, but funds
can be co-mingled with operating funds.
Whether you use Zero Balance Accounting to concentrate or disburse
funds, you will continue to receive a separate bank statement for
each account. Transfer activity is clearly indicated on the bank
statement with the descriptions, “Transfer From #XXXXXXXXX”
and “Transfer To #XXXXXXXXXX”. These descriptions will
also be shown on the VIPbanker ™ Service.
Zero balance accounts may be held at any Pacific Western Bank office
and must be non-interest bearing checking accounts.
